Privacy Policy

Last updated: 4 October 2026

This policy explains what personal information we collect through this website, why we collect it, who we share it with and the choices you have. We have tried to keep it short and in plain English.

Who we are

This website is run by Coast and Country Holidays Yorkshire. We are the data controller for the personal information described in this policy, which means we decide how it is used.

The website lists holiday properties. Each property is owned by its own owner, and enquiries are answered by us and by the owner of the property concerned.

What we collect

  • Enquiries and messages: your name, email address, phone number, the dates you are interested in, the number of guests, the property you asked about and anything you write in your message.
  • Owner and manager accounts: name, email address, password (stored only in encrypted form by our login provider), the property the account looks after, and records of invitations and sign-ins.
  • Technical information: your IP address, browser type and basic server and security logs created when you use the site. We also keep a one-way scrambled version of the IP address with messages sent through the contact form to help stop spam.
  • Email records: details of the emails we send you, such as the address, the time sent and whether delivery succeeded.

We do not ask for payment details. No payments are taken on this website.

Why we use it and our lawful basis

  • To answer your enquiry and discuss a possible stay. Our lawful basis is taking steps at your request before entering into an agreement, and our legitimate interest in replying to people who contact us.
  • To run owner and manager accounts so owners can update their property and see enquiries about it. Our lawful basis is our agreement with the account holder and our legitimate interest in running the site.
  • To keep the site secure, prevent spam and misuse and fix problems. Our lawful basis is our legitimate interest in protecting the site and its users.
  • To meet legal obligations, for example keeping records or responding to lawful requests.

Who we share it with

When you send an enquiry about a property, we share it with the owner of that property so they can reply and arrange your stay. Owners can only see enquiries about their own property.

We use trusted service providers who handle information on our behalf and only on our instructions: our website hosting provider, our database and login provider and our email delivery provider.

We do not sell your personal information. We do not send you marketing emails unless you have asked us to.

We may also share information if the law requires it or to protect the rights and safety of our guests, owners or ourselves.

International transfers

Some of our service providers may store or process information outside the UK. Where that happens, we rely on appropriate safeguards recognised under UK data protection law, such as adequacy regulations or approved contract terms.

How long we keep it

We keep enquiries and messages for up to 24 months, unless we need them for longer, for example because a stay was arranged or to deal with a dispute or a legal requirement.

We keep owner and manager account details while the account is active and delete or anonymise them within a reasonable period after it is closed. Security logs and email records are kept for a limited period and then deleted.

Your rights

Under UK data protection law you have the right to ask for a copy of your information, to have it corrected if it is wrong, to have it deleted, to restrict or object to how we use it, and to receive it in a portable format. Some rights only apply in certain circumstances.

To use any of these rights, contact us using the details below. We will reply within one month.

How to complain

If you are unhappy with how we have handled your information, please contact us first so we can try to put it right.

You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
